This section contains questions we are frequently asked by our consultants. They cover general questions about MATRIX, vacations, payroll, and other topics relevant to your employment with us. 

Questions About Benefits

You can continue most group insurance coverage by electing COBRA coverage.

Long-term care may be ported after your contract ends. To port your insurance policy, please contact John Hancock directly at 800.482.0022 within 31 days of when your insurance ends to complete the necessary paperwork. Disability through Prudential may not be ported.

We do not offer a flexible medical spending account at the present time. However, we do offer a dependent care spending account (available through CBIZ) for setting aside up to $5,000, pretax, for dependent care expenses.

To enroll, or receive additional information on John Hancock’s long-term care insurance, please call John Hancock at 800.482.0022. Disability through Prudential may be elected on the Insurance Enrollment Form. These benefits are guaranteed-issue if elected within your first 30 days of employment.

Because our group health plan is part of a cafeteria plan, there are only two other occasions when you can elect to participate in our group health plan:

  1. Change in status (marriage, divorce, birth, adoption, change in work status, spouse loses coverage, etc.)
  2. Open enrollment (held throughout the month of May of each year for a June 1 effective coverage)

Your insurance will end the last day of the month in which your contract employment ends, with the exception of your life insurance, which ends on your termination date.
Medical, dental, prescription, and vision insurance coverage may be continued under COBRA. Group life and optional life cannot be continued under COBRA.

Your benefits will continue until the last day of the month in which your contract employment ends. If your contract is extended or if you start a new contract in the same month in which your previous contract ended, your insurance will continue uninterrupted. If you do not start a new contract until after your insurance ends, you will be offered COBRA coverage. As long as you return within 90 days after your previous contract, your insurance coverage will be reinstated (with the completion of a new enrollment form) the date of your new contract and your COBRA coverage (if applicable) will cease.

You have up to 60 days from the date you receive your COBRA election form, via certified return-receipt, to complete the paperwork and return it to the COBRA administrator. You then have up to 45 days from the date you sign and return your election form to submit your first payment, which will be applied retroactively to the date COBRA coverage began.
COBRA payments are due in full the first of each month.
Insurance is effective the 1st day of the month following your hire date (assuming continuous active employment) (e.g. start date is 7/15, eligibility date is 8/1). You have up to 30 days after your hire date to enroll in the group health insurance.
In order for your benefits to start on time, you must submit your enrollment form within 30 days of your hire date. The sooner you submit your enrollment form, the sooner you'll have your insurance card.
You will receive COBRA information via certified return-receipt no later than 30 days after your insurance ends.

All regular full-time employees who consistently work a minimum of 30 hours per week are eligible to enroll in the insurance benefits.

Questions About Contracting

Our clients typically look for “real world” experience in addition to training. e-Learning, while an excellent method to learn new skills and hone current ones, may not be enough to land you a new contract in a particular skill in which you trained.

We work with our clients to determine the fair market bill rate, taking into consideration several market factors, such as available skills in the market and what is being offered for similar experience levels. MATRIX then develops a fair margin on top of this rate which covers all General and Administrative overhead costs (such as FICA, FUTA, and SUTA), Workers’ Compensation, Medicare and an insurance contribution incurred by MATRIX. Additionally, we incur expenses associated with running our operation that are included in that rate. We then quote this rate to the client manager when we present you as a candidate.
Our goal is to keep you on staff and place you again and again! Your resume and skills will be proactively marketed by our team of Account Managers (the MATRIX contact points for our clients). They know your exact end date, key skills and desired rate, and they use these to find you an open position.

Eight months is the average.

Our billing cycle is uniquely tailored for each client but typically ranges from biweekly to monthly. All hours are reported to the engagement manager on a time sheet, which is approved by the manager and sent to MATRIX once every two weeks. We then input those approved hours into our billing system, which generates invoices to our clients on the specified client schedule. All consultants submit time sheets and are paid on a biweekly basis independent of the client – this helps us ensure that your payment is made in a consistent and timely manner.

If you are seeking permanent placement, benefits packages will vary. This is an area we will help you explore with each client company to determine compatibility with your needs. When you become a MATRIX consultant, you are eligible for the entire MATRIX benefits package.

Our comprehensive PPO (Preferred Provider Plan) is administered through Blue Cross and Blue Shield, and includes Medical, Dental, Prescription, and Vision coverage. Short-term disability, long-term disability, long-term care, a dependent care spending account, and a 401(k) plan are also offered through this program. You never have to worry about yourself or your dependents.

There is no simple formula for establishing pay rates, but a number of factors are usually important: the skills required for the project, the duration of the assignment, the number of available candidates with the required skills, the difficulty of the assignment, and any past employment with the client.

Four weeks before your contract comes to a close, we will contact both you and your client manager to see if your contract is going to be extended. If there is no extension, we will begin to actively market you for new positions. This gives us plenty of time to find you a new opportunity. You are also open to market your resume to other resources in order to keep your options open.

Contract consultants are hired by companies, on an hourly basis, to use their skills on a specific project for a set period of time. After an assignment is completed, the consultant is released to begin another project. Contracting is a form of employment that has become very popular for IT professionals.

When working with our permanent placement division, MATRIX will help you become an employee of one of our client companies. When you work with our contract placement division, MATRIX will assist you in finding contract consulting assignments with our client companies. If you choose to come on board with MATRIX as a W-2 consultant, MATRIX would be your legal employer.

Questions About Long-Term Disability

MATRIX does not require participants to close out their accounts upon ending contract employment. You may therefore either (1) leave your 401(k) account active with Great-West, or (2) close your account and transfer your monies to either an IRA, another qualified 401(k) plan or cash out.

No. We work on a contingency basis, which means we represent several companies, not just one.

The Account Executive is responsible for all MATRIX contract activity with a specific client company. If you have an issue with your Account Executive, please contact your local MATRIX Director in confidence to discuss the situation.

No. Our fees are fully paid by our client companies.

Yes, we have placed candidates from Seattle to Boston, and everywhere in between. With offices across the country, MATRIX has the capacity to serve our clients staffing needs on a nationwide basis.

Yes. A significant percentage of our candidates are relocating to other areas. We can work with you to develop a plan to conduct an out-of-town search with a minimum amount of inconvenience and wasted time.

Yes, MATRIX does sponsor H-1 candidates who are willing to relocate, accept competitive rates, and travel, as well as meet certain education and IT skills.

It varies. Some of our client companies allow MATRIX to sponsor, but not all. Please check with your MATRIX Associate.

It varies. If you have solid experience with a hard-to-find skill set, you could be presented with an offer in a matter of days. Most candidates can expect their job search to last from two to six weeks on average, but it could last longer. Also, higher-level, permanent positions often have longer hiring cycles of 12 weeks or more.

Each client has a different timetable, depending on their sense of urgency. Some clients need to replace an employee who has left or who is leaving and are willing to move very quickly to do this. Other clients may be hiring for a project that does not start for some time; they may take more time interviewing and screening potential candidates.

Once you begin the search process, you can expect to hear from your MATRIX Associate as opportunities become available. We also encourage you to review our Web site periodically and to call us if you see a position of interest.

We have found that most people prefer telephone correspondence. We realize that telephone conversations may be difficult for you at times, so each MATRIX Associate can also correspond with you via e-mail.

No. You are free to work with any firm you desire at any time.

Finally, you will have a single point of contact at MATRIX (your MATRIX Associate) who will get to know you as an individual. Your job search becomes a team effort — not an individual one.

Questions About Pay and Compensation

This varies with each client company. Typically, an offer will be presented to you verbally by your MATRIX Associate. Other times, the employer will desire to present the offer directly to you. For permanent positions, once you accept the verbal offer, a written offer letter is generally sent to you via mail.

This varies from client to client. It is best to contact your MATRIX Account Manager to find out how your client typically handles this issue.

Good question. As you might imagine, there is no simple answer to this question. Market value is largely determined by area of the country, years of experience, depth of experience, educational history, and often varies by company and industry. We generate our own IT Salary Survey for the cities where we have a local office: Atlanta, Birmingham, Charlotte, Chicago, Dallas, Fort Worth, Houston, Jacksonville, Phoenix, Raleigh, San Francisco, and Seattle. This survey can provide you with a good understanding of the range of salaries in the marketplace.

Questions About Payroll

No, we do not currently permit consultants to change employment status during an assignment.

Yes. W2 consultants can sign up using the Ceridian Self Service website. Inc consultants can simply complete the Direct Deposit form in the Forms section of this guide with a copy of a voided business check, and fax it to 770-698-6836 attention AP Payroll. It generally takes two pay cycles to implement this service once your request has been submitted into payroll due to the need to send out a pre-note to your account.

Both cafeteria plan deductions and 401(k) deductions are taken pre-tax, however the taxes they affect may differ. 401(k) deductions are only exempt from federal and state withholding taxes. Cafeteria plan deductions are exempt from both federal and state withholding and from both Social Security and Medicare taxes.

Once you have logged on to the Self Service website, click on the "All Documents" link. If the status is "Document has been saved" then your request has been processed.

Promptly! Every two weeks. There are a total of 26 pay periods a year.

To determine how your check was distributed, look in the “Current Net Pay Distribution” section of your paystub, which is in the bottom right corner of the paystub. The amount to the right of “Check Amount” is the amount of the live check that was issued. The amount(s) to the right of any bank account numbers indicate the amount(s) deposited into those accounts.

Self Service requests are processed once per payroll cycle on the Wednesday morning the week before payday. For example, if you make a self service change the day after payday, your change will not be processed until the following week. If you make a change the Thursday after timesheets are due, your change will not be processed for almost two weeks, as you will have just missed the processing deadline.

Direct deposits show up to a bank as a “Deposit in Transit.” Each bank’s computer system is updated differently. Some banks will show deposits in transit, and some will not.

Paystubs are available to view online at the Ceridian Self Service website the Monday before payday. Direct Deposit paystubs are only available to view online, nothing will be mailed out.

The User name for self service is your social security number without the dashes. On the Self Service log in screen you can click on the “Need a password reminder? link and/or the “Forget your password?” link to help you access the website. If you have not entered your email address on your Self Service account, the “Forget your password” link will send an email to MATRIX staff to let us know you need assistance accessing the website. You will be contacted by someone within 24 hours via email with your new temporary password. Once you have accessed the site again, be sure to enter your email address on your account.

If you are adding a new account, the change takes two pay periods to take effect. If you are changing a deposit amount, or are stopping a direct deposit, this change will be effective with the upcoming pay period. You can only submit one self service request to change your direct deposit per pay period. If multiple requests are submitted only the most recent request will be submitted, all others will be rejected.

Send an email with your new address information to your Account Manger, if applicable and copy payroll@matrixresources.com and benefits@matrixresources.com.

You must provide the following contact information to your child support agency and they will send the paperwork to us (MATRIX Resources, Inc., 115 Perimeter Center Place, Suite 250, Dunwoody, GA 30346, Attention: Payroll) You will have to make payments on your own until you see the payments being withheld from your paycheck.

Log on to the Ceridian Self Service website. Under the Payroll & Tax section click on the Direct Deposits link. You will see your current direct deposit set up. Click the “Cancel” box next to the deposits you wish to stop. If any of the accounts you wish to stop have the “Deposit Remainder” box checked, uncheck the box. Click “Save”. Verify the information is correct and click “Save” again.

Please note Self Service requests are processed once a payroll period. If it is the Monday before payday, and the account your funds will be deposited into on Wednesday is closed, you will need to contact payroll immediately so that the deposit taking place in two days can be stopped and a live check issued. You must contact Payroll at payroll@matrixresources.com prior to 1:00pm EST the Monday preceeding payroll for the direct deposit to be successfully stopped. If this deadline is missed and the direct deposit processes, it may take 5-7 business days to get the funds back and issue a live check.

If you are depositing all of your checks into one account, you do not have to enter a dollar amount. Click the “Deposit Remainder” button to the right of your account information.

Log on to the Self Service website; click the Federal Tax Form (W4) link. Make any necessary changes to the form and click “Save”. Please note, if you click the “Exempt” box, NO federal taxes will be withheld.

Visit the Taxes page on the MATRIX web site. Click on the state you need a tax form for. This will take you to the form for that state. Some of the forms can be filled in online and then printed; others have to be printed off and filled in by hand. Complete the form and fax it to the Payroll Department at 770-698-6836. These changes are completed on the same schedule as the Self Service requests.

Ceridian is not set up to accept percentages. You must pick a specific dollar amount to be deposited into multiple accounts. For example, you can deposit $100.00 into a savings account, $500.00 into a checking account, and then the rest of your check can be deposited into another checking account by clicking the “Deposit Remainder” box next to your checking account information.

The pay rate on your Ceridian paystub is for display purposes only. To verify that you have been paid at the correct pay rate, divide your gross pay by the number of hours paid, and this will give you your hourly pay rate. If the displayed pay rate is incorrect please email payroll@matrixresources.com with the correct information so that the display can be updated. If after you do the calculation it turns out the pay rate is incorrect, contact your Account Manger so that they can take steps to get the correction made.

Send in the unapproved time sheet by the deadline and follow-up with the signed version as soon as possible. We track unsigned time sheets internally.
We process all time sheets at the same time. All late time sheets will be processed with the next payroll cycle two weeks later. Important Note: Both your MATRIX Account Manager and the MATRIX Accounting staff will make every effort to follow up on missing time sheets by e-mail and by phone when possible, but you are ultimately responsible for your time sheets.

Social Security limit for 2010 remains unchanged from 2009 and is still $106,800.00.  Medicare does not have any limits. Please remember that cafeteria plan deductions are exempt from these limits, so you must subtract these deductions from your gross pay to arrive at your gross/taxable pay for Social Security.

Time sheets are due by 5 p.m. on Monday every two weeks. If needed, please reference the Time Sheet Calendar.

Payday is the Wednesday of the week following your time sheet submittal. All checks and deposits are mailed/transmitted so that they should arrive by Wednesday. Please note that direct deposit is the only way we can guarantee the date your money will be deposited. If you are receiving your paycheck via US Mail, it may take longer due to delays in the mail system. Please reference the Pay Schedule and Time Sheet Calendar for further details.

Payroll direct deposits are transmitted by MATRIX two days before the payroll date. The posting of this deposit depends on your bank’s speed in processing the transaction.

Questions About Skills and Experience

Yes. However, this is not our primary area of focus. Most of our clients want employees with experience who can "hit the ground running" on the first day. If you have a Computer Science or MIS bachelor's degree and some solid project experience while in school, we may be able to help you. Also, any internship or solid work experience while in school is a plus. Please be sure to mention this experience to your MATRIX Associate.
It depends on your background, education, and flexibility. If you have a Computer Science, MIS, EE, or similar technical degree and relevant industry experience, we may be able to help you. You must be flexible on salary requirements when changing careers, but you can recover quickly once you learn new skills.

Questions About the 401(k) Plan

As long as your 401(k) balance is greater than $2,000, you can take up to 50% of your account balance for purposes of a loan (minimum loan amount is $1,000). There is a $75 loan origination fee and the loan is paid back through payroll deductions (the interest charged is prime plus 2%). Participants are also charged a $50 annual loan fee. Loan requests are made through the Great West Life Annuity and generally take about 2-3 weeks to process all the necessary paperwork.

Our 401(k) Plan is available to all employees. The Plan is administered by Great-West Life Annuity.

MATRIX does not offer matching at this time.

You can change fund selections as often as you like by calling Great-West directly or by visiting www.gwrs.com.

You can change payroll deductions amount(s) for the 401(k) at any time through Self Service.

You are eligible to participate after your first paycheck.

Your 401(k) deductions will begin the first paycheck after your effective date.

Questions About Vacations

No. As a contract consultant, you are paid for the hours that you work. All vacation time is not compensated time.
No, you get paid for hours that you work. Any time off is not compensated.
You may take vacations during contracts. This must be worked out between you, your MATRIX Account Manager, and your client manager. Generally, vacations are taken between contracts, but if you are on a long contract and have a vacation planned, please coordinate it with your Account Manager and your client manager. The more advance notice you can give, the better, and please always make sure to coordinate with your manager before you finalize your plans.
